What are cookies?

Collection of anonymous traffic data on the JRC Internet websites

When someone browses a JRC website, anonymous site usage information is collected via various technical means. The usage of the site is recorded in log files. These files contain no personal information, nor information about which other sites the visitor has browsed. They allow the JRC to improve the service by knowing its usage, and are processed anonymously.

Management of reference materials at JRC in Geel (DPO-1175) PRIVACY STATEMENT


1. Description

This processing of personnel data deals with the storage of information related to the reference materials accountancy related to distribution of reference materials. Data stored are the names of the contact persons and their affiliations. Personal data will be collected and further processed for the purposes detailed hereafter under point 2. This processing of personnel data is carried out under the responsibility of the Head of the Reference Materials Unit of the JRC. As this processing collects and further processes personal data, Regulation (EC) 45/2001, of the European Parliament and of the Council of 18 December 2000 on the protection of individuals with regard to the processing of personal data by the Community institutions and bodies and on the free movement of such data, is applicable.

2. What personal information do we collect, what is the legal basis, for what purpose and through which technical means?

Identification Data: The personal data collected and further processed are: First Name, surname, email address of the company contact person.
Legal Basis of processing: Euratom Treaty; Agreement DG XII-JRC of 10.03.1994; COM/2005/439: Proposal for a COUNCIL DECISION concerning the Specific Programme to be carried out by means of direct actions by the Joint Research Centre under the 7th Framework Programme of the European Community for research, technological development and demonstration activities (2007-2013).
Purpose of processing: Accountancy system for reference materials produced and/or sold by the JRC.
Technical Information: The user data are collected through paper and web forms and stored inside a  database.

3. Who has access to your information and to whom is it disclosed?

The access to all personal data is only granted through User_Id / Password to a defined population of users. These users typically are: the Unit Head acting as controller of the processing of personal data, the system administrator of the software and the unit staff members. Regular registered and approved users by default have access to limited personal data of other users: username, location, occupation, and signature. No personal data is transmitted to parties, which are outside the recipients and the legal framework mentioned.

4. How do we protect and safeguard your information?

The collected personal data is stored on the servers of JRC and underlies the Commission Decision C (2006) 3602 of 17/08/2006 "concerning the security of information systems used by the European Commission" defines IT security measures in force. Annex I defines the security requirements of EC Information Systems. Annex II defines the different actors and their responsibilities. Annex III defines the rules applicable by users. 5. How can you verify, modify or delete your information?

In case you want to verify which personal data is stored on your behalf by the responsible controller, have it modified, corrected, deleted or blocked, please write an email message to the functional mailbox address mentioned hereafter under "Contact Information", explicitly specifying your request.

6. How long do we keep your data?

Personal data are kept according to the requirements of the financial regulations.
